We are the data controller for the personal data described in this policy.

2. What data we collect and why

When you interact with Close Ratio — for example by booking a demo call — we may collect:

  • Name and email address — to confirm your booking and follow up about the demo.
  • Phone number — to call you at the agreed time.
  • Agency name and location — to prepare for the call and personalise the conversation.
  • Usage data — if we add web analytics in the future, we may collect anonymised information about how visitors use this website (pages visited, time on site, device type). We will update this policy before enabling any analytics.

We do not collect payment information directly. If you become a client, payment is handled through a separate invoicing process.

3. Legal basis for processing

We process your personal data on the following legal bases under the GDPR (as incorporated into Norwegian law via the Personal Data Act):

  • Contract performance (Article 6(1)(b)) — processing your booking details and contact information is necessary to provide the service you have requested.
  • Legitimate interests (Article 6(1)(f)) — we have a legitimate interest in following up on demo bookings and communicating with prospective clients. We have assessed that this does not override your rights and interests.

4. Third-party services

We use the following third-party service to handle demo bookings:

  • Calendly (Calendly LLC, United States) — used to schedule demo calls. When you book a call, Calendly processes your name, email, and any other details you provide. Calendly is certified under the EU–US Data Privacy Framework, which provides an adequate level of protection for transfers from the EEA to the US. Calendly's privacy policy is available at calendly.com/privacy.

If we add analytics or other tools in the future, we will update this policy accordingly.

5. International data transfers

Our business is based in Norway (EEA). When we transfer personal data to the United States — for example to Calendly — we rely on the EU–US Data Privacy Framework or other appropriate safeguards under GDPR Chapter V.

For clients or contacts in the United Kingdom, we comply with UK GDPR as it applies to data transfers between the EEA and the UK (currently subject to an adequacy decision).

6. How long we keep your data

  • Demo booking data — retained for up to 12 months after the booking date, or longer if we enter into a service relationship.
  • Client data — retained for the duration of the engagement and for up to 5 years afterwards, as required for accounting and legal purposes under Norwegian law.
  • Marketing communications — until you opt out or withdraw consent.

7. Your rights

Under GDPR and the Norwegian Personal Data Act, you have the right to:

  • Access the personal data we hold about you.
  • Correct inaccurate or incomplete data.
  • Erase your data ("right to be forgotten"), where applicable.
  • Restrict how we process your data in certain circumstances.
  • Data portability — receive your data in a structured, machine-readable format.
  • Object to processing based on legitimate interests.

If you believe we are processing your personal data in breach of applicable law, you have the right to lodge a complaint with the Norwegian Data Protection Authority:

We may update this policy from time to time. The "Last updated" date at the top of this page will always reflect the most recent version. For material changes, we will notify active clients by email.
